Promote Your Events
Effective promotion is essential to ensure the success of your IEEE Young Professionals (YP) events. Utilize the following tools and channels to maximize visibility and engagement.
4.6.1 Event Kits
The IEEE Young Professionals program provides an event kit which can be used to market your activities. It must be requested at least 4-6 weeks in advance by email yp@ieee.org.
4.6.2 Branding Material
To maintain consistency and professionalism, all promotional efforts must adhere to IEEE branding guidelines. Official branding materials and visual identity standards are available at this webpage and should be reviewed before designing any promotional content. It is important to familiarize yourself with these resources to ensure that your event materials such as banners, flyers, presentations, and digital assets align with IEEE’s established brand identity. Consistent use of branding reinforces credibility and helps unify communications across IEEE events and platforms.
4.6.3 Social Media
Use social media strategically by utilizing relevant IEEE channels:
- Your Society/Council social pages
- IEEE YP global platforms
- Region and Section social media accounts
- Any local YP Affinity Group pages

4.6.4 Targeted Event Mailing List
Reach your intended audience by using targeted mailing lists;
- Membership Database: Request access to relevant contact lists through your Society/Council staff or Region officers
- Other Support Channels: Ask conference organizers, Section Chairs, or Region Coordinators to distribute event details via their mailing lists. Society/Council staff can help circulate the information to members
4.6.5 Newsletters and Websites
Promoting your event through newsletters can increase reach across various IEEE communities:
- IEEE Young Professionals Scoop: A monthly newsletter featuring highlights of Young Professionals activities. To be considered for inclusion, content must first be published in the Young Professionals Community on Collabratec.
- Contact your Society or Council staff or AdCom representatives, and coordinate with Region or Section newsletter editors to feature your event.
- Promote your event through the Society and Conference websites, Region and Section websites, and local IEEE Young Professionals Affinity Group websites.
4.7 Follow Up After Events
- IEEE Young Professionals IMPACT Blog: Showcases stories, insights, and achievements from YP members worldwide, providing a platform to highlight impactful events and initiatives.
- Make use of Society magazines, blogs, and other communication channels to share updates and report on your event. Share your success stories with your Section and encourage them to promote the event through their social media platforms.
- After the event, follow up with attendees, thanking them for participating, inform them about upcoming activities, and maintain engagement throughout the year to build momentum for future events. If you’d like to gather feedback, you can also contact the IEEE Young Professionals Committee to help organize a post-event survey.
- Be sure to measure key performance indicators (KPIs) in your post-event feedback form, such as satisfaction rates, how attendees found out about the event, and suggestions for improvement.
- Submit the event report to your collaborators and sponsors. If your event is funded on a reimbursement basis, ensure that all claim documents and supporting receipts are submitted accurately and on time as per the sponsor’s requirements.
- Be sure to conduct a post-event debrief with your organizing team and key collaborators. This helps evaluate what worked well, identify areas for improvement,
- and document key learnings for future events.
