IEEE YP Event Funding Overview

IEEE Young Professionals (YP) event funding supports IEEE Organizational Units (OUs) to host events aligned with YP objectives for young professionals. Details on funding types, potential awards, and processes are provided below.

First-time applicants should read this page in its entirety before submitting a proposal.

IEEE YP events must follow all local health authority protocols and guidelines.

Things to Know

  • Funding exceptions: YP event funding cannot be used to cover travel expenses, accommodation, visa applications, gifts of any kind, honorarium, etc.
  • Event promotions must include the IEEE YP Logo and comply with YP Brand Identity Stipulations. 
  • Initial proposal approval does not guarantee full or partial funding. The final funding amount will be determined after the final event report is evaluated, and the amount may be different what was requested or initially approved.
  • Final event reports are required to be submitted within 30 days of the event. Failure to submit within 30 days may lead to the withdrawal of funding.
  • Final event reports must include:
    • the number of event attendees
    • noteworthy participants, speakers, activities
    • internal and non-IEEE OU participation/partnerships
    • reach and impact of the event
    • final expenses itemized with receipts
    • revenue (if applicable)

Types of Funding

Student Transition and Elevation Partnership (STEP) Funding

Maximum award is US$500

STEP events unite IEEE Young Professionals and IEEE Students to help facilitate the transition from Student to Young Professional.

STEP events expose existing and potential IEEE Members to IEEE Membership benefits, YP services, and pathways for continued involvement with IEEE.

Local Activity Funding

Maximum award is US$750

Local Activities assist volunteers developing and implementing local-level initiatives. Organizers may structure Local Activities to most effectively engage participants.

Local Activities engage IEEE Members in technical and non-technical events, which may involve industrial, academic, governmental, and/or other partnerships.

Meet-up Funding

Maximum award is US$1,500

Meet-Up funding supports IEEE Members in a shared geographical area to network. Organizers are encouraged to co-locate Meet-Ups with large-scale events.

Meet-Ups provide IEEE Members the chance to collaborate, receive and offer feedback, and create new professional relationships.

Who Can Submit an Event Funding Request?

  • All IEEE OUs, except for Student Branches (SBs) and Student Branch Chapters (SBCs), may submit proposals for Local Activity and Meet-up funding and NOT STEP funding.
  • SBs and SBCs are eligible only to submit for STEP events.
  • Proposals for STEP funding from non-SB/SBC as the main organizer will not be considered.
  • SB/SBC proposals for Local Activity or Meet-Up funding will not be considered.

Proposal Endorsement Requirement

Proposals must include a written endorsement from one (1) of the qualifying IEEE volunteers listed below to demonstrate the event’s value. An endorsement letter template is included in the proposal application form. Proposals submitted by qualifying volunteer endorsers are exempt from this requirement.

Funding Cycle Timeline & Deadlines

Proposals are submitted and evaluated in distinct cycles. Each funding cycle has unique a submission deadline, evaluation period, and key dates. When choosing a cycle, applicants should confirm the “Earliest Date to Fund an Event” in each. Following cycle timelines ensures fair and timely evaluation for all submissions.

The remaining 2024 proposal submission deadlines are:

  • Cycle 1: 1 December 2024 – Note: Cycle 1 funding is for events in Jan and Feb of the following year 

2025 proposal submission deadlines are:

  • Cycle 2: 15 February 2025
  • Cycle 3: 15 April 2025
  • Cycle 4: 15 July 2025
  • Cycle 5: 15 September 2025

Event Reporting Requirements

  • Applicants must submit a final report no later than 30 days after the event. The report must include:
    • the number of event attendees
    • noteworthy participants, speakers, and activities
    • internal and non-IEEE OU participation/partnerships
    • reach and impact of the event
    • final expenses itemized with receipts, presented in US$XXX format
    • revenue (if applicable)
  • Applicants will be emailed instructions to submit the final event report two (2) days prior to the event, and will receive reminder emails after the event concludes.
  • Late reports or reports missing required information may result in the loss of funding.
  • Failure to submit within 30 days may lead to the withdrawal of funding.

Fund Transfer

  • Final funding amounts are decided based on the evaluation of the event report, and will be emailed to the applicant.
  • After the final funding amount is determined, funds are transferred to the applicant’s parent OU.
  • Applicants will be notified when the fund transfer process begins.
  • Funds may take up to eight (8) weeks to be received after the funding transfer process is initiated.
