4.3.1 What are the key responsibilities of a Young Professionals volunteer?

As Young Professionals (YP) representatives within IEEE Societies and Councils, volunteers play a crucial role in connecting early-career members with the broader community, ensuring that their perspectives are reflected in the Society’s strategic direction. In addition to acting as liaisons to the global IEEE YP Committee, YP volunteers are often responsible for helping their Society establish or renew its YP Committee, set clear goals, and report on activities and outcomes. While each Society has its own structure and priorities, having common guidelines and examples can provide consistency and inspiration. To support this, Section 4.8.1 highlights success stories from existing YP committees across IEEE, offering practical insights and models that volunteers can adapt to strengthen their own initiatives.

  1. Act as Liaison to the Global IEEE YP Committee
  • Communicate regularly with the IEEE YP Committee.
  • Learn and help implement IEEE YP global strategies within your Society/Council.
  • and scheduled virtual meetings of the committee.

  1. Report and Communicate with the Society/Council
  • Share updates with your Society’s governing board on YP activities and progress.
  • Present reports, give feedback, and contribute ideas for future initiatives.
  • Request to attend at least one in-person board meeting to provide a YP update.

  1. Organize YP-Focused Activities
  • Plan and lead events that add value to students and young professionals (e.g., meetups, conference sessions, industry visits, online seminars).
  • Collaborate with other volunteers to enhance the scope and impact of activities.
  • Apply for funding from your Society or other IEEE sources. Prepare a business plan that outlines the goals, costs, and benefits of proposed activities.

  1. Contribute to Strategic Planning
  • Offer input on how the Society/Council can attract and support young professionals.
  • Help review or revise Society/Council bylaws and policies to include YP perspectives.

  1. Build and Mentor a Volunteer Team
  • Recruit and support other YP volunteers to help scale activities.
  • Develop a succession plan to ensure long-term sustainability and leadership growth within the YP group.

  1. Budget Planning and Resource Management
  • Work with Society leadership to prepare an annual budget for YP activities.
  • Budgets should cover activity costs, promotion, travel, and participation in key events (e.g., conferences, governing board meetings, IEEE YP meetings).
  • Submit budget requests early, as IEEE’s budgeting process begins a year in advance.
